We are looking for a detail-oriented Lease Administrator to join our Global Real Estate team at ServiceNow.  In this role, you will support the lease administration processes, ensuring compliance with lease terms and facilitating the rent payment process. This role serves as a key liaison between landlords, tenants, legal teams, and internal departments such as accounting and operations.

 

Key Responsibilities:

Ensure that all invoices are received in a timely manner and develop a process that ensures that payments for properties that do not submit invoices are processed. 

 

  • Review invoices against lease terms, collect supporting documentation from landlords, and confirm calculation accuracy.
  • Ensure timely processing of monthly rent payments in accordance with due dates.
  • Communicate with Landlords regarding lease payments and charges as necessary and to resolve issues and discrepancies.
  • Enter and attach invoices to the respective location and update the database with the current escalated rent and operating expenses for payment. 
  • Prepare rent and operating expense variance reports for the portfolio as part of the rent approval process. 
  • Perform detailed review of annual reconciliations, including CAM (Common Area Maintenance), taxes, and insurance, ensuring accuracy according to lease agreements. Assist with lease audits as deemed necessary.
  • Review, abstract, and interpret commercial lease documents, amendments, renewals, and related agreements into database.  Coordinate translation if required.
  • Upload lease documentation into database with appropriate naming convention. 
  • Maintain accurate lease data in lease management system, including any changes to rent, operating expenses, contact information, etc.
  • Communicate and coordinate with stakeholders and team members located in multiple time zones to ensure timely and effective execution of lease-related activities. 

 

Key Qualifications for consideration:

  • Minimum of 3-5 years of experience in lease administration including accounts payable and general ledger.
  • Ability to read and understand contract language.
  • Strong attention to detail
  • Ability to remain professional and courteous during stressful circumstances.
  • Excellent verbal, written and interpersonal communication skills.
  • CoStar experience a plus
  • Proficient with the Microsoft office Suite, including advanced Excel.
