About the Role
ServiceNow's Executive Advisory Board (EAB) is a Global CIO forum bringing together senior customer executives and ServiceNow leadership twice yearly. We're seeking an experienced events professional to own end-to-end logistics and program coordination for our EAB meetings, ensuring a seamless, high-touch experience for C-level attendees.

Key Responsibilities

Event Logistics

  • Manage all meeting space, restaurant, and hotel bookings and contracts, working directly with venue partners and internal facilities contacts
  • Coordinate ground transportation for customer attendees, including flight tracking and car service arrangements
  • Source and manage customer gifts
  • Oversee catering, including collecting and accommodating dietary restrictions and allergies

On-Site Management

  • Serve as the on-site point of contact during the event, greeting customers and ensuring their needs are met throughout
  • Manage day-of logistics and troubleshoot issues in real time to ensure a seamless experience for attendees

Program Coordination & Communications

  • Format and finalize the meeting agenda (content developed by internal leadership), and prepare for distribution by the EAB sponsor
  • Prepare and finalize internal briefing materials and EAB member profiles
  • Prepare the customer-facing meeting details and logistics deck for the EAB sponsor to send to customers
  • Take notes on-site and assist in finalizing the post-meeting summary/minutes (led by internal leadership), prepared for the EAB sponsor to send to all EAB members
  • Draft internal and customer pre-read materials for the EAB sponsor's review and distribution

 

Presentation & Content Support

  • Assist with presentation prep for internal speakers and P5 stakeholders
  • Support dry-run coordination and scheduling

Qualifications

  • 7+ years of experience in executive events, corporate meeting planning, or program management, ideally supporting C-level or board-level programs
  • Proven track record managing vendor relationships (hotels, venues, restaurants, transportation)
  • Strong written communication skills; experience producing polished, executive-ready materials
  • Highly organized, deadline-driven, and comfortable managing multiple concurrent workstreams
  • Experience with purchasing/expense processes (P-Card or similar) a plus
  • Availability to travel to NYC for the one-time on-site meeting, October 14-15
