Duties

 

We are seeking an experienced and detail-oriented Lease Administrator to join our Global Real Estate team at ServiceNow. This role is critical for maintaining lease compliance, financial accuracy, and operational consistency across our global property portfolio, with an emphasis on APAC and/or EMEA regions.

You will play a pivotal role in ensuring that our lease administration functions are executed with precision and efficiency, enabling seamless financial operations, robust compliance, and informed global real estate planning. 

 

Key Responsibilities

  • Abstract critical lease terms (base rent, escalation, CAM, options, termination rights) and update critical dates in lease management database, and responsible for management of contract repositories. Manage translation of documents and invoices, as necessary. 
  • Review invoices and calculations in line with lease terms; maintain an organized system to ensure payments are not missed and are made on time. 
  • Perform monthly rent and operating expense reviews (CAM, taxes, insurance) including desktop audit of annual CAM reconciliations, prepare variance reports, weekly rent pay files, and support audit requests, as necessary.
  • Engage effectively with landlords, property managers, legal, accounting teams, and internal stakeholders across multiple time zones.
  • Track and manage security deposit, bank guarantees, and COI's for respective region.

 

Qualifications

  • Minimum 5 years of lease administration experience managing a commercial real estate office portfolio.
  • Experience with APAC and/or EMEA lease administration preferred.
  • Strong lease abstraction, critical date tracking, and database management skills.
  • Solid understanding of lease language, invoice review, performing desktop audits of reconciliations. 
  • Superior attention to detail and organizational skills.
  • Excellent verbal and written communication, especially cross-cultural and stakeholder-focused.
  • Ability to manage multiple priorities under tight deadlines while maintaining a professional demeanor.
