Job Description:

Position: Executive Assistant

Contract: 11 months (High Likelihood of Conversion)

Cost Center: 4110: Marketing Leadership

Work Location: New York, NY

We are seeking a highly organized and proactive Executive Assistant to support our SVP of Enterprise & Field Marketing. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, as you will be handling sensitive and confidential information.

 

What you get to do in this role: 

Administrative Support:

  • Manage and maintain the SVP's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange logistics for meetings, such as booking conference rooms, setting up video conferencing, and ensuring necessary materials are available.

Travel Management:

  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare travel expense reports and ensure timely reimbursement.

Project Management:

  • Assist in the planning and execution of special projects and initiatives.
  • Track project progress and provide regular updates to the SVP.

Office Management:

  • Maintain office supplies and equipment, ensuring everything is in working order.
  • Coordinate with IT and facilities teams to address any office-related issues.

Confidentiality and Discretion:

  • Handle sensitive and confidential information with the utmost discretion.
  • Ensure compliance with company policies and procedures regarding confidentiality.

Communication and Liaison:

  • Act as a liaison between the SVP and internal/external stakeholders.
  • Facilitate communication and collaboration across different departments and teams.

Event Planning:

  • Assist in organizing and coordinating events, such as conferences, webinars, and team-building activities.
  • Manage event logistics, including venue selection, catering, and guest lists.

 In order to qualify for and be successful in this role, you should have:

  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • High level of professionalism and discretion.
  • Strong attention to detail and problem-solving skills.
